Thank you for choosing Shadowfax Photography. These terms explain how bookings, payments and photography services work. Please read them carefully before confirming your date.
1. Booking and Deposit
A deposit is required to secure your date. This deposit is non-refundable, as we reserve the day and turn away other bookings. The remaining balance is due 2 weeks before the event.
2. Cancellations
If the client cancels more than 2 weeks before the event, the deposit is forfeit. If cancelled within 2 weeks, the full amount is owed. Any extra money paid (beyond what is forfeited) will be refunded.
3. Delivery of Photos
Your final photos will be delivered through a private online gallery.
Only photos that meet our quality standards will be delivered.
Extra editing requests may incur an added fee.
RAW files are stored for 12 months.
4. Pre-Event Planning
A consultation will take place to discuss times and details.
The client must identify important people or moments to be photographed.
The photographer is not responsible if no one is available to help gather people.
5. Punctuality and Cooperation
Shadowfax Photography is not responsible for missed photos caused by lateness, uncooperative people, or delays. Photography starts at the agreed time.
6. Venue Rules
The photographer must follow the rules set by the church, venue, or event staff. For example, a church may request NO flash photography.
If rules limit what the photographer can do, the resulting images are accepted as-is.
7. Guest Behaviour
Shadowfax Photography will not tolerate abusive behaviour.
They are not responsible for ruined photos caused by guests (like flashes or interruptions).
If guests cause damage or serious issues, the photographer may leave with no refund.
8. Right to Withdraw
If new information or changes to the event break the agreement, Shadowfax Photography may withdraw.
9. Limit of Liability
In the unlikely event of severe medical, natural, or other emergencies, Shadowfax Photography will make every effort to secure a replacement photographer. If a suitable replacement is not found, responsibility and liability is limited to the return of all payments received for the photography package.
Shadowfax Photography takes the utmost care with respect to exposure, transportation and processing of photographs; including using professional grade equipment and backup equipment. However, in the unlikely event of the client’s photographs being lost, stolen or destroyed, the latter’s liability is limited to the return of all payments received for the photography. The limit of liability shall not exceed the contracted price. The limit of liability for a partial loss of originals shall be a prorated amount of the exposures lost based on the percentage of total number of originals. Although every care will be taken to produce photographs of all important moments during the event, the photographer will not be held responsible for ruined / missed photos in or outside the photographers control. The photographer is under no obligation to capture any specific moment or pose or person(s) during the photoshoot. The photographer is not responsible for backgrounds or lighting conditions which may negatively impact or restrict the photo coverage.
10. Photo Rights & Copyright
All images are protected by copyright law.
Clients may use photos for personal use and share with family/friends.
Photos cannot be sold or given to third parties for publication without permission.
Shadowfax Photography may use the images for advertising, social media, and portfolio use.
Shadowfax Photography must be the only hired photographer.
